I am writing this blog to share the information about the clearance process for expats working in Ethiopia. The included information is collected from the experience of several people who have already gone through this process and the majority of the cases have taken from Arba Minch University, so do the needful adjustments according to your university. There is always possibilities of change in location of designated offices and processing fees and sometimes process as well, So before proceeding for clearance process make sure to recheck the office addresses and entire process too.

Clearance Made Easy: A Step-by-Step Guide for Expats Working in Ethiopia



1) Works to be done in University

  • First step is to enquire in your department about your contract renewal status whether renewed or not.

  • In case if you are not renewed, the department will inform to APEI.

  • then visit APEI, he will write a memo of clearance for you.

  • After receiving the memo for clearance.

  • Go to HR department and show the clearance memo, and they will give you plenty of clearance forms, don’t worry about those forms just call the broker person or any office assistant boy, they will do it for you from all departments except (finance, and research office).

  • once the clearance forms are done, go to APEI and collect the following letters.



Letters to be collected from APEI office

1.letter for Cancellation of work permit

2.letter for Cancellation of RP and Exit Visa (for Employee)

3. letter for Cancellation of RP and Exit Visa (Dependents)

4.No objection certificate

5.Air ticket letter for all

6.Hotel accommodation letter for all

7.Salary & service certificate

8.letter for sending full amount of last salary to bank manager.

If excess luggage (up to 20 kgs) is there means we can send through the Arba Minch post office. For extra luggage claim we have to write the letter to APEI.

I am __________________working in ____________department. As my contract was not renewed.so I am moving back to my country. As my contract agreement says in article IX fifth point there is a excess luggage charge compensation for 20 kgs.

Hence, I have excess luggage. So, I request your good office to compensate my excess luggage charge as soon as possible.

With this letter attach the followings documents;
  • Ethiopian Postal service enterprise- Transaction attachment

  • APEI will sign on this letter and he will give to his secretary to prepare letter (Amharic letter) to finance.

  • We have to submit this letter and all document to finance officer



Note:

  • before submitting this letter to finance office take all documents photocopies for tracking parcel purpose

  • After finishing the clearance form finally we can give it APEI secretary and collect the photo copy of clearance form.

  • to send end month full salary the following documents are required (1.letter for full salary sending, 2.clearance form photo copy, 3.Bank remittance form-2 copies with signature (write INR/dollar)).



Works in Addis Ababa


1. Cancellation of work permit

First we have to meet out liaison officer and request them to process our cancellation of work permit for this following documents are required;

1.work permit cancellation letter

2.Passport (Original)

3.RP (original)

4.WP (original)

5.Passport -photo copy (front & back pages of Passport)

6.RP-Photo copy

7.WP-Photo copy

8.No objection certificate (Original)


We can take liaison officer along with us to Ministry of labor office which is situated in Kazhanchis Area. There are two offices with the same name one is new and another one is old. We need to go old office which opposite to new office. In side the office they only allow liaison officer. After finishing the work permit cancellation, they will give another letter along with no objection certificate, Passport (original) and RP (original).

If this works finishes before 11.30 am or 12 pm means, immediately we can go to immigration office which is situated in Arath Kilo Area. INVEA office, the lane of NIB international

2. Cancellation of RP and Exit Visa

Before entering to Immigration office make sure that availability of sufficient dollars (Each Exit Visa 50-100 dollars required/person)



Note: If sufficient dollars are not available means try to get dollars from commercial bank of Ethiopia previous day itself. If you show your Air ticket, they will give around 100 dollars per passport.



Work in immigration office;

1.Go to counter number No:24 show your original passport (Must) collect Token

2.Go to counter No: 23 near one Xerox machine ask Application for Exit Visa. Separate application for Employee as well as Dependents (Ex:3 person ;3 Application needed)

3.Fill application and then attach following letters/ documents

  • Letter from labor office after work permit cancellation (only for Employee)

  • Letter for RP and Exit Visa (separate letter for Employee and Dependents)

  • Passport front and back page-photocopy

  • Visa- first arrival to Ethiopia (Visa what we received from place well person)

  • RP-photo copy

  • Marriage certificate-photocopy (those who applying exit visa for his spouse/husband)



Attach all these documents and submit to the officer when your token numbers are displayed on digital board. He will verify make a signature and give back to you. He will tell to go to Room No: 6 after entering Room No 6 there is sitting queue. You can go to any one of the officers, he will type your details and take your photograph by web camera And then he will send you to Room No:20 for payments. There they will charge 50-100 USD per person and he will give to the receipt and back of that receipt he will write when we can collect our passport. That is probably take 2 working days. The day what they mention in that receipt we can collect our passport from Room No:21. In between 2 days Gap we can go for Police clearance.


Police clearance

Office: federal police office next to old immigration office, situated near Ethiopian hotel.

Documents required for police clearance

1.Photo copies of passport -front and back page

2.RP-photo copy

3.Passport size photo

Notes: children not required police clearance

Application cost is 10 birrs. They fill the application and they will take our finger prints.

We can get the result next working day



Certificate attestation

To attest our salary and service certificate, First we have to go MoFA- ministry of foreign affairs with our passport (original) and Photo copy. The MoFA office shifted to new place which is near to Ethiopia hotel. MoFA office in HEL TOWER BUILDING. This is the location detail of that office.



First, we should collect token from Ground floor left side token machine. after that go to first floor counter number 23, and show them your certificate with my passport.

They will verify it and ask you for payment of 300 birr approx. through challan that can be paid in commercial bank. just make the payment there and take the receipt and give to the concern person, after seeing the receipt they will put seal on your documents.


After this mofa work you can move to Indian Embassy for attestation purpose.
